Mike’s Rewards Privacy Notice
Effective October 20, 2026
Information we collect
We collect information you provide, such as your name, mobile number, email address, optional birthday, business name, approval status, business credit application and billing details when monthly billing is requested, and the full names and approval statuses of authorized business users if you apply for business fuel rewards, marketing choices, and profile updates. We also maintain your member code, reward balances, purchase and redemption history, game activity, football picks, referrals, notification status, and account-support records. Receipt images may be processed when staff use receipt scanning. The app may store a device identifier or local sign-in information to recognize your device.
How we use information
We use information to create and manage accounts; calculate, award, redeem, and correct rewards; operate games, football picks, referrals, birthday rewards, promotions, and app-only offers; prevent fraud and abuse; provide support; maintain security; analyze and improve the Program; comply with law; and send account, promotional email, or push-notification messages consistent with your choices.
Service providers
We may use service providers for app hosting, database storage, email delivery, push notifications, football schedule and score data, barcode and QR functionality, receipt processing, security, and technical support. They may process information only as needed to provide services to us, subject to their contracts and applicable law. We do not sell rewards-account information for money.
QuickBooks invoices and payments
When a business is matched to a store’s QuickBooks customer account, we retrieve its customer name, invoice identifiers, dates, totals, outstanding balances, online invoice links, and payment references to display invoices, offer online payment, and reconcile business fuel balances. Each store uses its own QuickBooks company. Managers select statement invoices and may enable automatic monthly invoices. When enabled, new fuel charges entered by staff, including dates, gallons, amounts, authorized names and receipt references, are sent to the matched store’s QuickBooks customer account to create or update its monthly invoice. Payment details are entered on Intuit’s checkout pages; this app does not receive or store card numbers or bank account credentials. QuickBooks invoice payment status and bank settlement are different. Managers review receipts before changing the app’s fuel balances. When a business signs up, its business name, address, contact name, phone and email are sent to each connected store’s QuickBooks company to create and match a customer record. Existing customers with the same business name require manager matching. QuickBooks data is used for account administration and billing, not rewards marketing. Disconnecting a store revokes future access; existing accounting and audit records may be retained as described below.
Face ID and device security
If you enable Face ID or another device-unlock feature, authentication is performed by your device or operating system. Mike’s does not receive or store your facial image or biometric template. The app receives only the device’s authentication result.
Marketing and notifications
When you create a rewards account and provide an email address, that address is enrolled to receive promotional email from Mike’s Gas & Grub. You may unsubscribe at any time through the link in a promotional email. We will honor opt-out requests and will not re-enroll an unsubscribed address merely because the customer later opens an existing rewards account. You may disable push notifications through your device settings. Opting out of marketing does not delete your rewards account or earned rewards and does not prevent necessary account, security, or Program-change communications.
Retention and security
We retain information for as long as reasonably necessary to operate the Program, maintain business and transaction records, resolve disputes, prevent abuse, and comply with legal obligations. We use reasonable safeguards, but no system can guarantee absolute security. Account deletion requests may be subject to retention required for legal, security, fraud-prevention, accounting, or operational purposes.
Your choices
You may update profile information in the app, unsubscribe from marketing email, disable push notifications, or request account assistance or deletion by contacting either store. We may need to verify your identity before acting on a request.
Children
The Program is not intended for children under 13, and we do not knowingly collect personal information online from children under 13. If we learn that we collected such information, we will take reasonable steps to delete it.
Changes and contact
We may update this Notice and will provide reasonable notice of material changes through the app, email, or another appropriate method. Questions may be directed to Mike’s Gas & Grub, 2805 E. Northern Ave., Kingman, AZ 86409, or Mike’s Gas & Grub II, 3770 E. Diagonal Way, Kingman, AZ 86409.
